Description:Family Insurance has been offering our Auto and Home insurance products in B.C. for over a decade. Family Insurance is a Vancouver based member of The Economical Insurance Group. Economical Mutual Insurance Company is the insurer on all Family policies, it is one of the largest insurance companies in Canada, is 100% Canadian owned and was founded in 1871.
The Receptionist provides an advanced level of administrative support requiring strong initiative and judgment. This position reports directly to the Assistant Team Lead Offices Services and may take direction from other managers as required. The primary functions of this position are to operate Family's multi-line switch board and direct incoming calls to the appropriate individuals or departments.
-Receive and direct incoming calls from the main switchboard. Check various department voicemail boxes for general messages. Direct all incoming phone calls to the claims department by using the internal claims system to identify the appropriate party.
-Professionally and courteously greet all visitors to Familys Office and direct them to the appropriate party as required
-Ensure all visitors are signed in/out and provided with the appropriate visitor pass.
-Using the Call Pilot Software, distribute faxes to the appropriate individuals or departments on a daily basis.
-Receive, open and direct all incoming mail from couriers and ensure that mail and courier supplies are available, ordering stock when necessary.
-Prepare outgoing ICS (Insurance Courier Service) mail and prepare registered mail for pick up from all departments
-Sort and stamp all outgoing Company mail and arrange for various daily courier services as required, including dropping off Canada Post mail at the end of the day
-Order supplies for staff by department code through Grand and Toy.
-Complete monthly report for off site file storage activity for the Claims department
-Complete monthly report for Postage machine
-Assist with reconciliation of month end reception invoices
-Assist with clerical duties and requests as needed.
-Assist other departments within the company with various projects that may arise.
-Provide back-up support to the Assistant Team Lead Office Services during all absences as required
-Professional, friendly and courteous in all interactions, whether with customers or co-workers.
-Able to act as a liaison between all departments and be comfortable dealing with all levels of management and staff
-Perform well in a busy operation and remain calm under pressure.
-Able to trouble shoot and problem solve difficult customer service calls.
-Team player adaptable to a changing environment.
-Excellent organizational skills.
-Excellent verbal and written communication skills
-Proficient computer skills, including Word, Outlook and Excel.
-Professional phone manner.
-Knowledge of claims adjusting an asset.
-Previous experience in an office environment.
-Ability to meet business objectives and be a value added team player.
