Family Insurance Solutions Inc. is a Vancouver based member of The Economical Insurance Group. Economical is the insurer on all Family polices and is 100% Canadian owned and operated. This position will work in the Economical Claims Department, which is dedicated to servicing Family Insurance customers.
The main role of the Claims Support Assistant is to aid the adjusters in the Claims Department with specific administrative duties. This position reports directly to the Assistant Team Lead of the Claims Support Unit and may also take direction from other managers as required. The Claims Support Assistant must demonstrate strong organizational and time management skills as well as good attention to detail.
(Note: The job duties listed below will be shared between the Claims Support Team. Cross training will occur and job duties may change from time to time.)
-File all closed files according to internal filing protocol
-Organize and maintain Claims Department filing system, ensuring files are moved from within the office to storage (both on site and off site) as needs require. Enter location of the file into the Claims System.
-Ensure accurate documentation exists for all off-site storage
-Distribute mail and faxes to Claims Department staff
-Review and document all outgoing Claims Department cheques
-Collate and deliver to Reception all outgoing Claims Department mail and courier packages
-Act as secondary back up to the Companys reception desk including break and lunch coverage as well as illness and holiday coverage
-Receive and direct incoming calls from the main switchboard.
-Greet all visitors and direct them to the appropriate party as required.
-Using the Call Pilot software, distribute faxes to the appropriate individuals or departments on a daily basis.
-Receive, open and direct all incoming mail from Canada Post and other mail providers. Ensure that mail and courier supplies are available and order stock when necessary.
-Prepare and stamp all outgoing mail, including registered mail, and arrange for daily courier service as required.
-Log all incoming and outgoing cheques
-Administer off-site storage activity (e.g. retrievals)
-Reconcile month end reception invoices
-Prepare files for subrogation
-Photocopy subrogation file contents
-Prepare files for submission to ICBC
-Return completed file to the Subro/Salvage Unit for filing
-Assist Claims Department staff with locating missing files
-File miscellaneous invoices into closed files in both on-site and off-site storage
-Create file folders for new claims and distribute to Claims Department adjusters
-Assist the Auto Unit with the paying of invoices on behalf of claims adjusters
-Additional administrative duties within claims and other departments as required
-Professional, friendly and courteous in all interactions, whether with customers or co-workers.
-Perform well in a busy operation and remain calm under pressure.

-Proficient computer skills, including Word and Excel.
-Previous experience in an office environment.
